Direct incoming faxes to appropriate staff. Primary agency contact for external vendor relationships, such as Office Depot, Staples, Shred-It, Commonwealth Technology, etc. Maintain client files; active, retired, and deceased. Create and maintain employee directory. Manage and schedule agency conference facilities. Support administrative needs by assembling proposals, sorting incoming/outgoing agency mail and shipments, issuing ID cards, running MVR's, evidence of insurance, loss runs, and other related items. Maintain electronic files in an orderly and up-to-date manner, scanning in to EPIC any necessary documentation and correspondence. Perform other clerical and job-related duties, as required. High school diploma or equivalent. One year of business experience in a public contact service role. A superior customer service attitude and approach to business. Ability to communicate orally and in writing with others Excellent time management skills with the ability to prioritize assigned tasks and special projects as needed. Proficient MS office suite skills (Word, Excel, Outlook, PowerPoint). Excellent organizational skills and the ability work in a fast-paced, demanding and often intense environment which operates on strict deadlines in order to conduct business. Ability to maintain client confidentiality and be cognizant of time sensitive activities and situations. Ability to work both independently and within a team environment, able to take direction and guidance from multiple parties. Reliable and present during scheduled business hours.
