Job Type: Full-time; Non-exempt

Work Hours: Monday- Friday from 8:30am-5:00pm. Assigned days and/or shift can be changed according to staffing needs. Must be available evenings, holidays, and weekends as required.

Work Setting: In-person.

Location: Azusa

Travel: Frequently required to travel by personal auto or air to meeting sites and other locations.

Summary of Functions:

The Payroll Compliance Specialist reports directly to the Payroll Manager and will be assisting to compile, record, and process employee timesheets and payroll records, and generating reports and paperwork to facilitate the timekeeping and payroll process.

Duties & Responsibilities:
Essential Job Functions:

1. Daily review of time sheets and work schedules; create or extract other data to detect payroll discrepancies and suggest corrections.
2. Verifies attendance, hours worked, and posts information onto designated records or reports.
3. Working with employee and their supervisors to ensure compliance with timekeeping policies and procedures.
4. Supports leadership and staff with resolving issues and answers payroll-related questions, including training to help employees understand and use the timekeeping and payroll systems.
5. Supports leadership with scheduling, timekeeping, and report generation.
6. Assists with payroll processing to ensure the payroll is processed timely and accurately, in compliance with policies, procedures and legal requirements.
7. Assists with preparation or distribution of relevant weekly, monthly, quarterly, and/or annual reports, dashboards, data support, etc.
8. Assists with pre and post payroll processes, such as scanning of files, filing, generating reports, and attending meetings and debriefs related to payroll.
9. Assists with all internal and external audits related to payroll, as directed by the Payroll Manager.
10. Work closely with Human Resources on timekeeping issues, creating reports and providing support for employee investigations.
11. Maintains employee confidence and protects payroll operations by keeping confidential information.
12. Supports the organization’s Standards of Professional Conduct as outlined by the organization’s policies and procedures, and the mission, vision and core values.
13. Attends meetings as required and participates on committees as directed.
14. Performs other duties as assigned.

Skills and Abilities:
1. Interpersonal skills, including active listening, reading comprehension, critical thinking and logic.
2. Communication skills, written and oral.
3. Knowledge of Microsoft Suite applications (PowerPoint, Word, and Excel).
4. Knowledge of HRIS system, with emphasis on UKG.
5. Ability to observe and receive information, compile and calculate data, and perform day-to-day administrative tasks.
6. Ability to work on detailed data that requires accuracy, exactness, and thoroughness with time-sensitive deadlines.
7. Ability to work with others in a friendly, cooperative, and supportive role, while maintaining confidentiality and ethical standards.

Physical Environment/Working Conditions:
Location: Corporate office.
Travel: Occasionally required to travel by personal auto or air to meeting sites and other locations.
Work Hours: Forty-hour workweek. Must be available evenings, weekends and holidays, as required, and may have overtime hours.

Job Qualifications:
Education: Bachelor’s degree in HR/Business/Accounting/Finance or other related field required
Experience: Minimum of one year’s experience in Payroll or a related position preferred.
Certification/License: OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance based on California minimum insurance coverage standards.
Equipment: Working knowledge of personal computers, fax machines, telephone systems, photocopier, postage machine and 10-key adding machine. Reliable automotive transportation required.

Salary Range: $59,987.20 - $69,992
