Schedule is Monday through Friday: 9 a.m. to 11 a.m. or 10 a.m. to 12 p.m. and then again from 4 p.m. to 5 p.m. or 5 p.m. to 6 p.m. Job Duties: Answer and return phone calls, as well as, monitor and respond to emails and secure messages Support new client intake coordination Add and track inquiries within our client log Follow up with prospective clients regarding scheduling and paperwork completion Collect and forward insurance information to billing Communicate cancellations and updates to clinicians/staff Monitor intake workflow daily to ensure follow-through and completion of next steps Maintain accurate documentation and communication records Participate in training, support, or team meetings Job Requirements Qualifications: Healthcare, mental health, intake coordination, or administrative support experience is preferred Familiarity with HIPAA/confidentiality expectations preferred Must be comfortable using email, spreadsheets, scheduling systems, phone applications, and remote communication platforms and able to learn and navigate multiple systems efficiently Must have strong written and verbal communication skills while being detail-oriented, organized, and highly responsive Must have the ability to effectively track communication, follow-up tasks, and workflow progress Must be professional, warm, client-focused, dependable, thoughtful, and proactive who can help strengthen communication flow and support both our clients and clinicians effectively Must be able to maintain confidentiality Only candidates that can pass a background check and drug screen will be considered .
